Comments can be added to any Document Entry by scrolling to the bottom of the Entry and clicking into the Comment area.
Comments are designed to allow for public, or private, communication to occur on a specific document entry within the Platform. Comments are tied into the email notification portion of the system so users who are not currently logged into the Platform will see be notified that a conversation is occurring.
The following features and functions work within the Comment area:
NOTE: Comments can only be added, and seen, on Published entries.
Adding New Comments
Clicking into the Comment area will open the Comment box and provide access to all the Comment specific features.
Rich Text Formatting
The top row within the Comment Box provides some rich text formatting options as well as buttons that allow for images and files to be associated with the Comment.
Images and Files
Images and files can be uploaded to specific comments using the Image and File (paperclip) icons within the Comment header row. Files will always show as a link and images will attempt to be rendered by the system. Below is an example of an image displaying within a Comment.
Visibility
The Visibility button allows for the audience of the Comment to be updated. By default, all Users who have access to the Entry will be able to see the Comment - these are considered 'Public' Comments since everyone can see them. If at least one User is removed from the Comment, the Comment becomes 'Private' and, when Saved, will show which specific Users have access to view the Comment.
Notifications
The Notify contributors checkbox, if selected, will generate an email notification to the Contributors who have access to the Comment when the Comment is saved. To prevent an email notification from being generated, de-select this checkbox.
Replying
Once a Comment has been saved, replies can be made to the Comment to facilitate a discussion. If a new discussion topic is desired, a new Comment should be added to the Entry. In this way, multiple threads (or different conversations) can occur on the same Entry at the same time.
NOTE: Once a Comment's visibility has been set, it cannot be edited. All reply's to a Comment also inherit the top comments visibility permissions.
