The List Library allows Pro users to create, manage, and structure lists used throughout Document Templates. Lists act as data sources for fields like dropdown menus, tables, and checklists.
The List Library provides a centralized way to create structured, reusable data sets for your templates. It supports streamlined list management, smart imports, display flexibility, and consistent data entry across projects.
List Creation
-
Lists can be created from the List Library
-
Each list must have a destination type selected before creation:
-
Data
-
Standard Table
-
Prefilled Table
-
This selection defines how the list will be used and what configuration options are available.
List Type
-
Data – Values can be used to populate any Catalog field
- Standard Table – Creates the structure of a table that can be used within a Document Template to capture information in a specific format.
- Prefilled Table - Creates the structure of a table that can be used to prefill with specific values and then placed within a Document Template. Prefilled tables are most often used to create Checklists.
List Level
-
Account – Values shared across all projects.
- Project – Values are specific to a single project.
Field & Structure Rules
-
Max of 20 columns per list.
- Columns can be hidden from display (useful for background/reference data). Lists are allowed a maximum of 6 columns to display
-
Fields allowed: Catalog, Date/Time, Number, Text, Formula
NOTE: The order the columns display in the List Library > Layout area is the order the values in the list will display when the list is viewed.
Editing & Locking
-
Account List structure (column setup) is fixed; only values can be changed.
-
Prefilled Tables offer a "Lock field in entry" setting to control whether values can be edited directly within a Document Template entry or only in the settings area.
Integration with Document Templates
-
Lists feed into List-sourced fields (e.g., dropdowns, tables).
-
List values are updated via Account/Project Settings, not from within the Document Template.
-
List structure and fields are not connected to those in the Document Template Library (though field property options are similar).
