How to create a Personnel Details Report
Personnel is a key resource tracked within your Daily Reports — recording who worked on the job site, their classification, company, and hours. The Personnel Details Report pulls this information out of your Daily Report entries into a single table, making it easy to review labor across a date range without opening individual entries.
Running the Report
From the Report Log, open the Personnel Details report and click Configure to set up your criteria:
- Date range (required) — Choose the date range of Daily Reports to include. Quick shortcuts are available: This Week, Last Week, Last 7 Days, This Month, Last Month, or Reset to clear your selection. Defaults to This Month.
- Personnel (required) — Choose which personnel to include. Populated from everyone recorded in a Personnel Details table on a Published or Archived Daily Report. Defaults to all personnel found.
- Status (required) — Choose which Item Source Template, typically Daily Report, statuses to pull from (In Progress, Submitted, Under Review, Approved). Defaults to Approved only.
- Associated Items (optional) — Narrow results to personnel entries tied to specific pay items. Defaults to all items found.
- Company (optional) — Narrow results to personnel from specific companies. Defaults to all companies found.
When a field allows multiple selections, chosen values display as chips; if there isn't room to show them all, the field will show a chip indicating how many additional values are selected.
Click Run to generate the report, or Cancel to close the flyout without changes. You can reopen Configure at any time from the Report View page to adjust your criteria and re-run the report.
TIP: Double clicking the report will open and run the report using the most recently used report configuration criteria.
Viewing the Report
The report displays one row for every time a person was recorded in a Personnel Details table entry — so if the same person appears multiple times across different Daily Reports (or even multiple times within one), each instance gets its own row.
Results are sorted by Date (most recent first), and then by Name alphabetically within each date.
Each row includes:
| Column | Source |
|---|---|
| Date | Daily Report's Date field |
| Number | Daily Report's Number field |
| Creator | Daily Report's Creator field |
| Status | Daily Report's Status field |
| Classification | From the Personnel Classification list, for the personnel selected |
| ID | From the Personnel list, for the personnel selected |
| Name | From the Personnel list, for the personnel selected |
| Company | From the Personnel list, for the personnel selected |
| Count | From the Personnel Details table |
| Regular Hours | From the Personnel Details table |
| Overtime Hours | From the Personnel Details table |
| Associated Item Number | Number of the item linked in the Personnel Details table |
| Associated Item Description | Description of the item linked in the Personnel Details table |
| Personnel Remarks | From the Personnel Details table |
Field values display using the same format as their source field — for example, if Count is a number field with 2 decimal precision on the entry, it will show with 2 decimal precision in the report.
Exporting the Report
Click Export to generate an Excel (.xlsx) or PDF version of the report:
- A notification appears letting you know your export is processing.
- Once ready, you'll receive an email with a Download link. This link expires 3 days after the email is sent.
- The downloaded file is named Personnel Report Export [yyyy-mm-dd], using the date the export was generated.
The exported file's header row matches the report's current column order, and each row matches what's shown in the report — the export contains the field values only, without any additional calculations.
