How to markup referenced files

The Markup feature lets you annotate PDF and image files directly within FACS — no need to download the file, mark it up in a separate program, and re-upload it. This is designed to make field documentation faster and clearer, right where you're already working.

File Markup

 

Overview

The Markup feature is available in two places:

  • File Reference Viewer — for files attached to entries
  • File Cabinet Viewer — for files stored in your project's File Cabinet

The Markup button only appears for supported file types: PDF and image files (JPG, JPEG, PNG, etc.) and can be accessed from the file viewer by selecting the desired file to be marked up and clicking View.

 

Markup Features

Once you open Markup on a file, you can:

  • Draw arrows, circles, rectangles, and lines
  • Freehand draw
  • Highlight areas of the file
  • Add text notes/comments
  • Choose from a selection of colors for drawings and highlights

You can also clear all markups at once or delete individual markups before saving.

 

Saving Your Markup

When you select Save, your markup is merged directly into the original file — it isn't kept as a separate overlay or a second file. The marked-up version replaces the original, while keeping the same file name and its association with the entry or File Cabinet record.

Because the marked-up file becomes the file of record, it's what you'll see everywhere that file is used going forward, including:

  • Exports
  • Project Exports
  • Photo Details Reports
  • Search results

There is as a Save As option which saves a copy of the original file with the markup. This file is saved to the same entry/folder as the original file and allows for creating a markup without impacting the original file. 

When Saving As a new file name is needed, the system will automatically add 'markup' to the end of the original file name for this reason. The file name can be edited.
