How to merge list values
Over time, lists like Location or Company can end up with duplicate values that only differ slightly in spelling or formatting. The Merge feature lets you combine two duplicate list values into one, cleaning up your lists without having to manually track down and update every place a value is used.
How to Merge Two Values
- Go to Project Settings > List or Account Settings > List.
- On the list's value log page, select exactly two values you want to combine.
- Open the More menu and select Merge (located between Import and Archive).
- In the Merge flyout, choose:
- Value to keep – the value that will remain after the merge
- Value to merge and delete – the value that will be replaced and removed
- Select Merge to confirm.
You'll see a warning before the merge completes:
Confirm Merge — Merging will replace the Value to merge with the Value to keep across all records. The Value to merge will be permanently deleted. This action cannot be undone.
Selecting Cancel closes the flyout without making any changes.
NOTE: Only Data list types support merging values. This option is not available on other list types.
What Happens When You Merge
- Every place the Value to merge was used — entries, reports, filters, history, etc. — is updated to use the Value to keep instead.
- The Value to merge is then permanently deleted from the list, since it's no longer used anywhere in the system.
- The Value to keep wins for all of that list value's own fields. If the value you're merging away has data in a field that's empty on the Value to keep, that data is not carried over and will be lost.
CAUTION: This action cannot be undone, so double-check which value you want to keep before confirming.
Good to Know
- Only two values can be merged at a time. If you have several duplicates to clean up (for example, 5 versions of the same location), you'll need to merge them in pairs — 4 separate merge actions to consolidate 5 duplicates down to 1.
- If tracked in the List Value's history, a merge will show as an action with the merged-away value's label recorded for reference.
