How to send and manage email Notifications

Email notifications can be sent automatically when one of the following trigger events occurs: Workflow changes; User granted access to an Entry; BIC changes or a Comment is added.

 

Notification Triggers

There are four notification actions which, when triggered, can generate an email notification. Notifications are triggered only if the 'Notify Recipients' checkbox associated with the event is enabled prior to the trigger event occurring.

Ball in Court (BIC). BIC is the only Notification Type that always triggers an email notification.

Notification Control

Receipt of email notifications can be controlled on a user-by-user basis, under the Settings menu option. Notifications will only be received if 1) the User who performs the trigger action elects to generate a notification and 2) the receiving User has notifications enabled for that Service/Trigger event. 

Number Description
1 Service Name. Lists the different Services you have access to that contain at least one notification event. Selecting the checkbox in this column will turn all triggers for that row on or off.
2 Workflow. Selected rows will allow receipt of an email notification when the Status of an Entry is changed.
3 Sharing. Selected rows will allow receipt of an email notification when Users are added to an Entry.
4 Comment. Selected rows will allow receipt of an email notification when a Comment is created, or edited, within an Entry.
5 BIC. Selected rows will allow receipt of an email notification when the BIC value is changed on an Entry.
6 Save button. If updates to the page are made, you must click the Save button for those updates to be stored by the Platform.

 

Notification Logic

The following logic is used based on if the Entry contains an Address field.

Service without Address

With, or without, Workflow, Ball in Court (BIC) or Comments, if the following trigger event occurs:

  1. Workflow is updated, notify:
    1. Entry creator
    2. Entry creators approving manager(s)
    3. BIC (if field has a value)
  2. BIC is updated, notify:
    1. Entry creator
    2. Entry creators approving manager(s)
    3. BIC
  3. Comment is added/updated, notify:
    1. Entry creator
    2. Entry creators approving manager(s)
    3. BIC (if field has a value)

             

            Service With Address

            With, or without, Status, Ball in Court (BIC) or Comments, if the following trigger event occurs:

            1. Workflow is updated, notify:
              1. Users in the Address section
              2. Entry creator (which may, or may not, be the same person who triggered the notification)
              3. User who triggered the notification
              4. BIC (if field has a value)
            2. BIC is updated, notify:
              1. Users in the Address section
              2. Entry creator (which may, or may not, be the same person who triggered the notification)
              3. User who triggered the notification
              4. BIC
            3. Comment is added/updated, notify:
              1. Users in the Address section
              2. Entry creator (which may, or may not, be the same person who triggered the notification)
              3. User who triggered the notification
              4. BIC (if field has a value)
            4. Address is updated, notify:
              1. Users in the Address section
              2. Entry creator (which may, or may not, be the same person who triggered the notification)
              3. User who triggered the notification
              4. BIC (if field has a value)

                                   

                                  Users will only receive, at most, one notification for each triggered action. Notifications are only generated for Users if they have enabled notifications in their Settings area for the corresponding trigger event and if the ‘Notify Recipients’ checkbox is selected when the action which triggers a notification occurs.
