What's new in Release Version 1.16.0

This release introduces our self-service Automated Billing & Subscription Management suite, enhanced payment method controls, license and seat management safeguards, guest user billing protections, and catalog improvements.

 Key Highlights & New Features

1. Self-Service Subscription & Billing Management

Account Administrators now have full visibility and control over their FACS subscription directly within the platform.

  • Dedicated Billing Hub: A new Billing section is now available under Account Settings → Billing, consolidating subscription details, billing contacts, and payment options into a single view.
  • Subscription Overview & Manage Flyout: View your current plan (Standard vs. Pro), renewal dates, and real-time counts of active annual and monthly licenses. The new Manage Subscription flyout makes upgrading and seat adjustments quick and seamless.
  • Instant In-App Upgrade to Pro: Standard plan accounts can upgrade directly to Pro with a single click. Upgrading immediately unlocks Pro features—including File Cabinet, Document Library, List Library, and Reviewer roles—with automated prorated billing adjustments.
  • Add-On Services: Easily purchase Onboarding and Training packages directly from the Manage Subscription flyout.
  • Purchase Additional Annual Licenses: Add annual licenses at any time through the subscription flyout with automatic proration and smart seat allocation.

2. Payment Method & Invoicing Enhancements

We have modernized payment workflows to provide transparent, automated invoicing and receipt delivery.

  • Multi-Method Payment Support: Save and manage Credit Cards, Bank (ACH) accounts, and Invoice billing methods during registration, from Account Settings, and within the subscription flyout.
  • Automated Invoices & Payment Receipts: Invoicing contacts receive itemized invoices for subscriptions and add-on services, as well as automatic email receipts upon payment confirmation.
  • Standardized Billing Address Layout: Updated the Billing Contact layout in Account Settings to match the registration flow.

3. User Management & Billing Safeguards

To prevent unexpected charges, the platform now provides proactive warnings and protections around user seat allocations.

  • Billing Impact Prompts: Administrators are now alerted before completing actions that would require provisioning an additional paid license:
    • Inviting New Users: Prompts confirmation when adding paid roles if all prepaid annual seats are in use.
    • Reactivating Inactive Users: Warns when restoring inactive users to a paid role without available seats.
    • Role Upgrades: Warns when changing a user from a free role (e.g., Read Only) to a paid role (e.g., Account User or Administrator).
  • Guest User Protection: Guest collaborators invited from external partner organizations are automatically recognized and will not trigger license charges on the host account.
  • Activation-Based Billing: User billing charges now trigger upon user account activation rather than initial invitation dispatch.
  • Simplified Annual Renewal Conversion: Annual licenses convert flexibly to monthly billing at renewal if not repurchased, preventing unwanted commitments on unused seats.
  • Account Role Auditing: Resolved permission validation discrepancies between Account Administrator and Project User roles.

4. Account Management & Downgrade / Deletion Lifecycle

Clear, structured controls have been added for account lifecycle management.

  • Account Deletion Safeguards: Added a dedicated Delete Account option under Account Settings → General featuring clear confirmation dialogs and an automated 2-step deactivation and grace period workflow.
  • Support-Assisted Downgrades: Established an automated workflow for plan downgrades that smoothly transitions user roles and archives Pro-only resources while preserving data integrity.
  • Delinquency Protections: Automated background alerts to prevent unexpected service interruptions on past-due accounts.


 Enhancements & Safeguards

  • Catalog Field Configuration: When reusing existing List Catalog fields across lists, source list definitions and options remain locked to ensure data consistency 


Bug Fixes & Stability Improvements

  • Single Checkbox Catalog Fields: Removed the unnecessary "Set field as required" toggle from Single Checkbox fields in the Catalog to eliminate configuration confusion
