What's new in Release Version 1.20.0

This release introduces connected document reviewing, improved communication tools, and reporting polish, and additional audit tracking.

Key Highlights & New Features

 Payment Summary dashboard widget

A new widget on the Account Dashboard shows the Payment status of every Project in one place. Each Project has its own row with its most recent Payment, including:

  • Number
  • Pay Period start and end
  • Payment date
  • Amount this period and Amount to date
  • Percent complete and Retained to date
  • Status

Expand a Project to see all of its Payment entries, newest first, and click a row to go to that Payment. You only see Projects where your role can view the Payment Document Template.

Payment Action Items dashboard widget

A new widget on the Project Dashboard shows everything that needs attention before the current Payment period can be approved. Items fall into two groups:

  • Required Fixes, which must be resolved before the Payment can be approved:
    • Item Source Template entries in the Payment period that aren't yet Approved
    • Material Stockpile overpayments
    • Change Orders that have a Date Approved inside the Payment period but aren't in Approved status
  • Warnings, which should be reviewed but don't block approval:
    • Pay Items that are over their authorized quantity, after any allowed overrun threshold
    • Material Acceptance underruns

Each section shows how many items are open, and you can click through to the related records. Once you fix the underlying data, the item drops off the list automatically. The widget is shown to Project Administrators and Project Managers. If no Payment is pending, it displays "No Pending Payment."

Standard Tables as sources for Catalog fields

Catalog – Select Menu fields can now use a Standard Table from the same entry as their source. This lets you link records within an entry, such as tying Personnel or Equipment rows to the Pay Items already recorded on that Daily Report. A new Enforce cascade actions setting (on by default) keeps those links up to date:

  • If you edit a source value, the linked records update to match.
  • If you delete a source value, the linked rows are removed.
  • Links are kept when you duplicate an entry.
  • The system blocks setups that would create circular dependencies.

Automatic renewal control

Account Administrators can now turn off automatic renewal under Account Settings / Billing → Subscription management, using the Automatically renew account switch. With it off, the account and its licenses expire on the Account anniversary date. Monthly licenses keep renewing until then.

Billing event email notifications

A new Billing event notifications section on the Billing page lets you send billing alerts to all Account Administrators, all Billing users, or both. Alerts go out when an invoice is created, becomes past due, has a failed payment, or is paid.

Enhancements & Improvements

  • Paused accounts: If payment problems leave an account unresolved, access is now paused instead of the account being deleted. Users see a message telling them to contact their Account Manager or support@facsware.com.
  • Markup for files added through Comments: The Markup button now works on supported files attached through Comments, not just files uploaded to the File Reference.

Bug Fixes & Stability

  • PDF markup: Fixed a problem where markups on PDF files appeared in the wrong place, didn't appear at all, or moved the wrong way when dragged. Markup on images was not affected.
  • "Between" date filter: The "between" option now works for Created and Modified dates on the Account Settings / Users log page and other log pages.
  • Bulk Edit permissions: Users who don't have permission to edit some of the selected entries are no longer left with a Save button that silently does nothing.
  • Material Stockpile Usage Report: The Item Recorded Amount now shows correctly when an item is in error. In the on-screen report it appears only in the summary row, matching the PDF.
  • Fuel and Asphalt Adjustment Reports: Quantities in the PDF exports now use the standard 4 decimal places.
  • Activity Details Report: Addressed an issue where the report's configuration panel was slow to load or failed to load for some users.
