How to create a new Document Template

Document Templates can be added to an Account by Account Administrators from within the Document Library.

 

NOTE: This feature is only available within a Pro account.

What You Can Do in the Document Library

  • Create, copy, or update Document Templates

  • Set permissions and workflow

  • Define field layout, sections, and display settings

 


Creating a Document Template

Options include:

  • Public Templates – Provided by FACS

  • Client Library – Reuse previously created templates

  • New Template – Start from scratch

  • Copy Template – Duplicate and modify an existing one

 


Template Settings

  • Template Name (Required, max 30 characters)

  • Template ID (Optional)

  • Template Tag – Organize templates with custom labels

  • Publish / Unpublish / Archive / Draft options

  • Layout Options – One, two, or three-column; set by section

 


Sections & Fields

  • Fields are grouped into Sections (collapsible, labeled, draggable)

  • Sections can be deleted (with all contained fields)

  • Each template can hold up to 100 fields

 

Field Configuration Options

  • Label (display name)

  • Required – Must be filled to save

  • Default Value – Auto-filled on entry creation
  • Display Status – Show or hide fields

  • Copy Value – Carry values over when duplicating entries

  • Hide if Blank – Suppress field in exports if empty

  • Tooltip – Inline guidance for users

  • Log Page Order – Controls column order in logs

NOTE: Field Options vary by field type. Not all fields have all options.

 


Supported Field Types

  • Text, Number, Date/Time, Catalog, Table, Logic, Formula, Assignee, Signature, Quick Add, Creator

Standard Features on All Templates

  • Workflow  - Custom workflow can be created and assigned from the Workflow tab.

  • Contributors – Manage entry-level permissions

  • Comments - Allows for public, or private, communication on a specific document entry

  • References – Allows for attaching files to a document entry

  • Permissions - Set default role-based permissions at the template level
